Security, data isolation and access control

Written for the person who has to sign this off - a procurement team at a university, a grant officer answering to a funder, or whoever in your organisation owns the risk. It describes what is built today. Where something is not in place, it says so rather than leaving you to find out during diligence.

Your incubator's data is separate from every other incubator's

Each incubator is a separate tenant, and every query the portal makes is scoped to that tenant. One incubator cannot read another's applications, startups, evaluations or funding records - not through the interface, and not by changing an identifier in a URL.

This is the property most often asked about and most often assumed rather than checked, so it is worth being precise: isolation is enforced on the server for every request, not by hiding controls in the interface. A request that arrives without a valid tenant context is refused rather than served with a default.

Scoped at the query, not the screen

Tenant scoping happens where the data is read. Hiding a menu item is not access control; refusing the query is.

Your own branding, your own workspace

Your logo and colours, your programmes, your startups. Nothing to install and no server for your IT team to maintain.

Permissions match the job, not the job title

Access is defined per module and per role across five levels - create, read, update, delete and full - with per-user overrides on top. A finance lead can see funding without touching evaluation. An external panel member can score applications in one programme without reaching anything else in the portal.

That last case is the one that matters for evaluation integrity: bringing in an outside expert should not mean handing them the keys to the whole system, and it does not.

Five levels, per module

Create, read, update, delete, full - set for each role against each part of the portal.

Per-user overrides

One person who needs one extra thing does not require a new role for everybody.

Panel members without portal access

External evaluators are scoped to the programmes they judge and see nothing else.

A record of what happened, for when you are asked

Applications move through six phases and every move records who made it and when. Requests for documents and requests for changes each carry their own state beside the phase, so a stalled application has a visible reason rather than a remembered one. Permission denials are logged alongside.

This is what makes the trail usable for grant and compliance reporting rather than merely present. A year after a cohort was selected, you can still reconstruct how - which is the question a funder actually asks.

Money is traceable end to end

Funding is followed from its source, to the programme it was allocated to, to the tranche that reached a specific startup. Over-allocation is blocked where the commitment is made, so a programme cannot promise the same money twice.

Payments run through Razorpay. Card and bank details are handled by the payment provider and never reach EcoSync. Uploaded documents go to encrypted object storage through signed URLs rather than passing through the application.

What we do not have, said plainly

EcoSync does not hold SOC 2, ISO 27001 or any third-party security certification, and there is no published uptime SLA. We would rather tell you that here than have it surface halfway through a procurement review.

If your organisation has a specific requirement - a data-residency clause, a retention policy, an access-review cycle, a questionnaire to complete - send it to us and we will map it against what exists, item by item, and tell you where the answer is no.

Questions people actually ask

Can one incubator see another incubator's data?

No. Every incubator is a separate tenant and every query is scoped to that tenant on the server. One incubator cannot reach another's applications, startups, evaluations or funding records, and a request without valid tenant context is refused rather than served with a default.

Can we give an external panel member access to only one programme?

Yes. Panel members are assigned to specific programmes and can evaluate applications only within them. They do not receive a full portal role, so bringing in an outside expert does not expose the rest of your data.

Is EcoSync SOC 2 or ISO 27001 certified?

No. EcoSync does not hold SOC 2, ISO 27001 or any third-party security certification today, and we would rather say so than imply otherwise. What we can do is show you exactly what is recorded, who can reach it and how it is separated - send us your specific requirement and we will map it against what exists.

Where are card details stored?

Not with us. Payments are processed by Razorpay and card and bank details never reach EcoSync. Uploaded documents go to encrypted object storage through signed URLs rather than through the application.

Can we prove how a cohort was selected, a year later?

Yes. Every application status change records the person and the timestamp, document and change requests carry their own state, and the per-evaluator scoring breakdown is retained rather than averaged away. That combination is what lets you reconstruct a selection decision for a funder or an audit.

Have a security questionnaire?

Send it over. We will answer it item by item, including the items where the answer is no, and tell you what would have to change for it to become yes.
